BiVelio’s Documents module provides integrated document management with intelligent OCR, automatic linking to cases and contacts, and structured data extraction through AI agents.

Centralized storage

All workspace documents are stored securely and organized:

  • Direct upload — drag and drop files from your desktop
  • ChannelHub attachments — documents received via WhatsApp, Email or Telegram are saved automatically
  • System-generated — invoices, reports and documents created by workflows

Intelligent OCR

The OCR (Optical Character Recognition) system processes scanned or photographed documents and extracts text automatically:

  1. A document or image is uploaded to the system
  2. The OCR engine detects and extracts the text
  3. The extracted text is indexed for search
  4. Optionally, an AI agent analyzes the content and extracts structured data

Data extraction

The Data Extractor agent (invocable) can process OCR documents to extract:

  • Invoices — vendor, tax ID, amount, VAT, date, concept
  • Contracts — parties, dates, key clauses, conditions
  • ID/Passports — name, document number, date of birth
  • Forms — filled fields and their values

AI-powered data extraction consumes wallet credits. Each OCR + extraction process uses approximately 1-3 credits depending on document complexity.

Smart Attachments

Smart Attachments are how BiVelio links documents to the platform’s context:

  • Case linking — each document can be associated with one or multiple cases
  • Contact linking — documents associated with the contact’s CRM profile
  • Invoice linking — payment receipts, associated contracts
  • Cross-references — a document can be linked to multiple entities

Automatic attachments

When a contact sends a file via ChannelHub:

  1. The file is automatically saved in Documents
  2. It’s linked to the CRM contact
  3. If an active case exists, it’s associated with the case
  4. If the file is OCR-processable, extraction is launched automatically

Permissions and security

  • Documents inherit workspace permissions (multi-tenant RLS)
  • AES-256-GCM encryption at rest
  • TLS in transit
  • Role-based access control (administrator vs. operator)
  • Access and download logging
